10 tricks for Microsoft Outlook
1.Save few keystrokes when entering dates
When enter the start and due dates for a new job, you do not have to type the entire date. If a date is in the current month, simply enter the date and Outlook will enter the rest of the day for you. For example, if the current month is March and you enter 14, Outlook assumes you through March 14 of this year and fills that date.If the date is not in the current month, you can still save a few keystrokes by entering the month and day. Outlook will fill in the year as follows:If the month and day have not occurred in the current year, Outlook uses the current year.If the month and day have passed, Outlook uses the next year.
2.Control how you print NotesIf you use the Notes feature to record questions, ideas or quick reminders, you can also print occasionally. By default, Outlook prints each note on a separate page, which might or might not be what you want. You can force Outlook to fill each page to save paper or keep notes tied together. Select the notes you want to print, then select Print from the File menu. In the box resulting print dialog, uncheck the Start each item on a new page box in the print options and click OK.If the option is disabled, you are using the HTML format. You must switch to plain text format or enable this option. To do this, choose Options from the Tools menu. Click the Mail Format tab, and choose Plain Text of the call in the bottom of the option message format drop-down list. Then click Apply and OK. Repeat printing instructions, and you will find out each item on a new page option is enabled. After printing of tickets, simply retrace your steps to reset your size setting.
3.Print e-mail when it arrivesFor various reasons, some of us end up printing e-mail messages. If you print most of your messages, or all messages from a specific source, open each message manually print interrupts your work. Defining a rule to print the incoming desired could be more effective. To do this:1. On the Tools menu, click Rules and Alerts.2. Click New Rule in the E-mail Rules tab.3. Click Start from a blank rule at the top of the dialog wizard resulting rules.4. In the box in Step 1, select the control messages when they arrive option (it should be the default) and click Next.5. In the box in Step 1, select the Where My Name Is In The Box box (or whatever option applies if you do not want to print all messages you) and click Next.6. In the Step 1 box, click Print It option and click Next.At this point, you can identify exceptions to the rule, but we will not do it here. Just click Next, then Finish, Apply and OK to return to Outlook.After the establishment of the new printing rule, Outlook will print each incoming message that meets your needs. Now, chances are that you do not want to print all messages. So make good use of the terms offered in steps 5 and 7 limit printed messages Outlook.
4.Store efficiently
When answer mail sent to an e-mail, Outlook stores a copy of this message in the Sent Items folder. If you're like me, your Sent folder has thousands of messages. If you need to find a specific message later, you have to sort all these messages, and it takes time. Instead, store your answers with the original message. For example, suppose you automatically route all your messages from your boss in a folder named, as it should, MyBoss. If you want Outlook to store your answers in MyBoss with the original messages, follow these steps:1. On the Tools menu, choose Options.2. In the Preferences (should be selected by default) tab, click E-mail Options in the Email section.3. Click Advanced E-mail at the bottom of the message processing section Options.4. In the section Save messages, select the In folders other than the Inbox, save replies with the control box of the original message, and then click OK three times to return to Outlook.Outlook will apply this setting to all your personal files. Remember that Outlook saves replies with the original message and not in the sent only when the original message is in a folder other than the Inbox Items folder. Outlook continues to save all replies sent by the messages in the Inbox in the Sent Items folder.
5.Create a Flags of toolbar
Quick help you organize your messages, usually by a certain level of importance or task. For example, you could use a red flag to mark messages that need a quick response and a blue flag to mark messages that you have done and wait for a response.The problem with fast indicators is that there is no way to customize their descriptions. Outlook identifies only by color. You can not change the name of Red Flag to Critical. Remembering what each color can become tedious.1. An easy way to remember what each flag represents is to create a custom toolbar that displays each flag with text that means something to you. Fortunately, the process is simple:2. On the Tools menu, choose Customize.3. In the Toolbars tab, click New and name the new appropriate toolbar (for example, you can name it "Flags") and click OK.4. In the Customize dialog box, click the Commands tab.5. Select Actions from the Categories list box.6. Then drag the colored buttons on appropriate flag in the list of commands to the custom toolbar. (If you do not see the toolbar, look behind the dialog box.)7. After adding all the flags you want, change the text for each button flag. Right-click a button on the roof and replace the parameter name, for example, and the red flag with something more useful, such as "critical." Select Picture and text so that Outlook displays the name of the button in the toolbar.8. Complete steps 6 and 7 for each flag button in your new toolbar.
6.Modify the scope of your work week scheduleBy default, the weekly calendar view displays the five working days of the traditional work week, Monday through Friday. To include Saturday and Sunday in this view, choose Options from the Tools menu. In the Options dialog box that appears, click Calendar Options in the Calendar section. In the box on the Calendar Options dialog, check Saturday and Sunday in the Week section work schedule. Then click OK twice to return to the calendar.You do not need to display a work week of seven or traditional five days. Check the days of the week that apply to you for a week for the custom work. For example, if you work from Wednesday to Sunday, you can make selections to build a vision that reflects your calendar.
7.Use color to identify messages from specific sendersExpecting important mail? Identify when it comes to displaying it in a distinctive color. Start by selecting an existing message from the sender in question, if you have one. If you do not, it does not matter, you can enter the name of the sender manually. Now, follow these steps:1. In Mail, choose Organize from the Tools menu.2. In the ways of organizing Mail pane, click the link colors on the left side.3. In the first declaration of a state (we do not use the second), choose the first dropdown.4. If you select a message before you start, the sender's name appears in the text box to the right. If this is the wrong name, enter the name right or e-mail address of the person.5. Choose a color from the second drop-down list.6. Then, hold down the [Shift] key and press the last date of the period. Outlook automatically adjusts the work week schedule to include all dates of the selected time period. Alternatively, you can see a group of non-contiguous dates by holding the [Ctrl] key instead of [Shift] key while clicking on the dates. Outlook displays the days in order, no matter how you select them.
